In several use cases it can be necessary to access various mailboxes
with a specific account, such as to represent appointments from various
Exchange calendars together in one Intrexx calendar. For this purpose,
on the Exchange server a mailbox, such as the Sales mailbox,
can be created, which receives permissions to all calendars for all
employees of the sales department. The share of the respective
calendars must be set in Microsoft Outlook by the marketing staff
itself.
Here, an assignment of an Intrexx user can be set up for an Exchange
mailbox and then later be entered to applications and processes.
The use of these static users can be a good idea for applications in
which an overview of a series of appointments from various users is to
be shown (like Today in-house). In this way, it can
be avoided that each user must assign rights to every other user to
their calendar.
Within one process, a simple action can be defined via drag &
drop, in which all subsequent actions will take place, for example, in the
role of a user named Sales. The process can then,
for example, search in the mailboxes to which it has access for appointments with
specific characteristics (such as Customer visit)
and create or change appointments for individual sales staff members.
Click on Add in order
to create an additional user.
With Edit, an
existing user assignment can be edited. Remove takes
a user out of the list. With Manage access to shares, an additional dialog will
be opened, in which access rights to Exchange elements can be
controlled.
